This privacy policy describes how Hillary Benson LLC (“I,” “me,” or “my”) collects, uses, processes, retains, and discloses personal information when you visit hillarybenson.com and any pages that link to this privacy policy, contact me, book a meeting, or engage my coaching and advisory services (collectively, the “Services”), and my practices for using, maintaining, protecting, and disclosing that information.

This policy applies only to information I collect through the Services and in communications, including email, text, video, scheduling, and other electronic communications, between you and me in connection with the Services. It does not apply to information collected by third parties through any website, platform, application, or service that I do not control, even if linked from or used in connection with the Services.

Information I Collect

Website Analytics. I use Plausible Analytics to understand how visitors use my website and to improve the Services. Plausible is designed to be privacy-friendly, does not use cookies for its analytics, does not collect direct personal identifiers through its analytics tools, and does not track individual visitors across sites. The analytics information I receive is aggregated and intended to be anonymous, although my hosting and infrastructure providers may separately process technical information, such as IP address, browser information, device information, and server request data, as part of operating the website.

Scheduling. When you book a call through my scheduling tool (Cal.com), you may provide information such as your name, email address, time zone, and any notes or other information you choose to include. Cal.com processes this information to facilitate scheduling, send confirmations and calendar invitations, and support related communications. Information submitted through Cal.com is also subject to Cal.com's privacy policy.

Video Calls. Calls are conducted via Zoom or Google Meet. These services may process meeting-related information, such as your name, email address, device and usage information, IP address, and any content or information you choose to share during a call, in accordance with their respective privacy policies. I do not record calls without your explicit consent.

Client Information. If we work together in a coaching or advisory engagement, I may collect and retain personal information such as your contact information, billing and payment-related information, communications, session notes, information you share during our engagement, and materials reasonably necessary to provide the requested services, including strategic or product-related deliverables. I use this information to provide services, manage the client relationship, process invoices and payments, maintain business, tax, and accounting records, protect my business and clients, enforce agreements, and comply with legal obligations. I store this information using commercially reasonable administrative, technical, and organizational safeguards.

In general, the categories of personal information I may collect and process include contact information; scheduling information; communications and inquiry content; client relationship records; billing, transaction, and payment-related information; device and technical information; and any other information you voluntarily provide through the Services or in the course of an engagement.

How I Use Your Information

I use the information I collect to provide, operate, maintain, and improve the Services; respond to inquiries; schedule meetings; communicate with you; deliver coaching and advisory services; prepare deliverables; process invoices and payments; maintain business, tax, and accounting records; prevent misuse, fraud, and security incidents; enforce agreements; and comply with legal obligations. I do not sell, rent, or share your personal information with third parties for their own direct marketing purposes.

Third-Party Services

My website and services rely on the following third-party tools and service providers. These providers may process personal information on my behalf to support the Services, or may process information independently in accordance with their own privacy policies and terms:

  • Plausible Analytics (privacy-friendly website analytics)
  • GitHub (source code repository and website development management)
  • Vercel (website hosting and content delivery infrastructure)
  • Cal.com (scheduling and calendar booking)
  • Zoom (video conferencing and remote communications)
  • Google Workspace applications (email, VOIP, video conferencing, documents, notes, file storage, and client relationship management)
  • FreshBooks (customer invoicing, accounting, and payment processing)
  • Anthropic, Google Gemini, and similar AI service providers (drafting, summarization, analysis, research, and workflow support)

Additional communication, file-sharing, or AI-enabled tools may also be used from time to time if reasonably necessary to deliver services, schedule meetings, exchange documents, analyze information, prepare work products, or communicate with clients. If used, those providers will process information in accordance with their applicable terms and privacy policies.

When I use AI tools in connection with client engagements, I take steps to limit the personal information shared with those providers. I do not submit financial data or direct personal identifiers (such as full names or contact information) to AI tools. However, you should be aware that contextual information about your engagement — such as your industry, product category, geographic market, or other descriptive details — may be submitted to AI providers as part of drafting, analysis, summarization, or research tasks, and that such information could, in some circumstances, be used to identify you. By engaging my services, you acknowledge that non-identifying and contextual information related to your engagement may be processed by AI service providers in accordance with their applicable terms and privacy policies.

Data Retention

I retain personal information for as long as reasonably necessary to fulfill the purposes described in this policy, including to provide services, maintain business and legal records, resolve disputes, enforce agreements, and comply with applicable law. Website analytics data is retained by Plausible in aggregated, anonymous form. Scheduling data is retained by Cal.com according to its policies. Client engagement notes, communications, and related records may be retained for the duration of the working relationship and for a reasonable period afterward for business, legal, tax, accounting, and compliance purposes. You may request deletion of your personal information by contacting me at the email address below, and I will honor such requests to the extent required by applicable law and subject to any lawful need to retain the information.

Data Security

I take reasonable administrative, technical, and organizational measures to protect your information from unauthorized access, alteration, disclosure, or destruction. However, no website, platform, method of transmission over the internet, or electronic storage system is completely secure, and I cannot guarantee absolute security.

Your Rights

Depending on your location and applicable law, you may have rights regarding your personal information, including the right to access the personal information I hold about you, request correction of inaccurate information, request deletion of your information, object to or request restriction of certain processing of your information, and request portability of your data. These rights are not absolute and may be subject to verification of your identity and other legal exceptions.

For individuals in the European Economic Area, United Kingdom, or Switzerland: I process personal data where necessary for my legitimate interests in operating my business and delivering requested services, to take steps at your request before entering into an agreement, to perform a contract with you, to comply with legal obligations, and, where applicable, on the basis of your consent. Where processing is based on consent, you have the right to withdraw consent at any time. You also have the right to lodge a complaint with your local data protection authority.

For California residents: subject to applicable law, you may have the right to know the categories of personal information collected about you, the sources of that information, the business or commercial purposes for collecting it, and the categories of third parties to whom it is disclosed; to request access to, deletion of, or correction of inaccurate personal information; and to exercise other rights available under applicable California law. I do not sell or share personal information for cross-context behavioral advertising as those terms are defined under California law.

Cookies

My website is intended not to use cookies for analytics or advertising purposes, and Plausible Analytics is designed to operate without cookies. However, certain third-party services, integrations, or your browser or device may use cookies or similar technical features as part of their normal operation.

Children's Privacy

My Services are not directed to individuals under the age of 18, and I do not knowingly collect personal information from children under 18. If I learn that I have collected personal information from a child under 18 without appropriate authorization where required by law, I will delete that information.

Changes to This Policy

I may update this privacy policy from time to time, and I will post any changes on this page with an updated effective date. Changes will become effective when posted unless otherwise stated.
